Situation

Formed by Dragados Canada Inc. and EBC Inc., the Groupe Héritage Île-d’Orléans consortium is responsible for the design and construction of replacing the existing Île d’Orléans bridge with a new cable-stayed bridge, a project valued at approximately $2.7 billion.

The site receives several specialized subcontractors and their workers every day who work there from a few hours to several weeks, forcing the site’s OHS managers to orient an average of 50 new workers each week.

Each orientation takes on average 45 minutes and consists of gathering information, listening to a prevention video, completing a form and recording a copy of mandatory compliance documents such as skills cards or specialized training certificates.

Once orientated and active on the site, there is no way to validate the compliance over time of recurring or long-term workers.

NeXafe as a solution, like a new bridge to excellence.

The Preparation

  • Generic profiles (worker passports) have been created in advance with their unique QR code.
  • A orientation form was quickly created in NeXafe using the built-in form builder.
  • The electronic form was added in just two clicks to all pre-created passports.
  • Highly weather-resistant stickers with the QR code and unique identifier of each of the passports have been pre-printed.
  • The subcontractor database has been pre-assembled in the free management module for subcontractor corporate compliance.
  • 25 iPads with a dedicated NeXafe profile activated in a few seconds were made available to workers’ reception (any mobile phone could also be used with a quick log in).

The New Ultra-Fast Orientation

  • When a worker shows up, an OHS manager activates and opens, on one of the iPads, a pre-established passport in just two clicks then gives the iPad and the corresponding sticker to the worker.
  • The worker enters his first and last name, and selects his company from the list of subcontractors.
  • The worker clicks the form link which begins with the instructions and the welcome video.
  • During this time, the OHS manager adds additional proof of conformity requirements to the file, if necessary, by selecting them from a drop-down list.
  • Once the video has been listened to, the worker answers the questions directly in the form (answer buttons and checkboxes) then submits their completed form.
  • The worker then clicks on the requirements that may have been added to his file to take a photo of his corresponding document with the iPad camera which opens automatically by clicking on the item to be updated.
  • Once the photos are added, an OHS manager can review the evidence added by the worker on the spot or revise it at a later time.
  • The worker affixes his sticker and enters the site.

The Results

  • Reception time has been reduced to less than 5 minutes per worker, excluding listening to the video.
  • The new procedure makes it possible to accommodate in the same 5 minutes, up to 25 workers at the same time (limited by the number of iPads).
  • Each worker automatically has an up-to-date profile that can be monitored and tracked by simply scanning the QR code.
  • Passport files for non-recurring workers can be easily archived or temporarily deactivated.
  • For longer-term workers, monitoring the need to update required documents (deadline) is automated by notifications or a display in a dashboard, warning in advance of the upcoming expiration.

The implementation of NeXafe was a game changer for us. The system was as easy to implement as it is to use. Our productivity gain and savings in time and money make it a “no brainer.” Plus, I expected to pay 10 times what the system actually costs.
